Commercial Fridge Repair is a trading name of Be Cool Group UK Ltd of Office 7, 35-37 Ludgate Hill, London, EC4M 7JN ("we", "us" or "our"). We are the data controller for the personal data collected through this website. This policy explains what we collect, why, and the rights you have under the UK Data Protection Act 2018 and the UK GDPR.

What we collect

The quote form

When you send our quote form we keep the details you enter: your name, phone number, email address, postcode, business name, the services you are asking about and your message. We store this in our leads system so the team can reply, book and carry out the work, and so we have a record of the enquiry.

Alongside the form we record the page you sent it from and, if you arrived from an advert, the advert click reference (such as gclid, gbraid or wbraid) and any campaign tags in the link you followed. We use this only to handle your enquiry and to understand which advertising works.

Data collected automatically

When you visit the site, our servers temporarily log the information your browser sends: your IP address, the date and time, the pages requested, the site you came from and your browser and device type. We use this to run and secure the website, which is our legitimate interest.

How we use your data

We use personal data to:

  • respond to enquiries and provide quotes,
  • book, carry out and invoice our work,
  • meet our legal, accounting and tax obligations, and
  • keep the website secure and measure how it is used.

The legal bases we rely on are performing a contract or taking steps towards one, meeting our legal obligations, our legitimate interests in running and promoting the business, and your consent where we ask for it, for example for optional cookies.

Who processes data for us

We use a small number of processors to run the site and the business:

  • Our hosting provider runs the website and its database on our behalf.
  • Resend delivers the email notifications that tell our team a new enquiry has arrived, so your form details pass through Resend on the way to our inbox.
  • Google provides Analytics and Ads measurement, loaded through Google Tag Manager, but only as described in the cookies section below.

We do not sell your personal data, and we do not use it for automated decision-making or profiling. If data is processed outside the UK by one of these providers, it is protected by the appropriate safeguards such as standard contractual clauses.

Cookies on this website

When you first visit, our cookie banner asks whether you are happy for us to use optional cookies. Nothing optional is set until you choose, and you can change your mind at any time using the Cookie settings link at the bottom of every page.

  • Strictly necessary: remembering your cookie choice. This is stored in your browser and is always on.
  • Analytics (optional): Google Analytics, loaded through Google Tag Manager, which tells us which pages are useful and how people find the site.
  • Marketing (optional): Google Ads measurement and remarketing, which tells us which adverts led to an enquiry.

We use Google Consent Mode. If you decline analytics or marketing cookies, Google tags do not set or read those cookies and only send limited, cookieless signals that Google uses for aggregated modelling.

How long we keep data

We keep personal data only as long as we need it for the purposes above, and in line with UK statutory retention periods, for up to 6 years for enquiry and invoice records.

Your rights

Under the UK GDPR you can ask us to:

  • give you a copy of the personal data we hold about you,
  • correct anything that is wrong,
  • delete your data, or restrict or object to how we use it,
  • provide your data in a portable format, and
  • withdraw any consent you have given, which does not affect anything done before you withdrew it.

A few other points

We do not knowingly collect data from children, and this site is aimed at businesses. Our site is protected by encryption in transit, but no internet transmission is ever completely secure. If we ever become aware of a breach that affects your personal data, we will deal with it in line with our legal obligations.
